1. Getting Started
Signing Up & Signing In
To create an account, click "Sign Up" and provide your full name, email, and password. You must also agree to the Terms of Service and Privacy Policy. You can also sign up using Google or GitHub.
To sign in, use your email/password or an OAuth provider. If you have Two-Factor Authentication (2FA) enabled, you will be prompted for a 6-digit code from your authenticator app.
Interactive Onboarding Tour
The first time you log in, a guided tour will highlight key features, such as creating your first project and where to find the main navigation controls.
2. Managing Your Account
Access your account settings by clicking your profile icon in the top-right corner and selecting "My Profile".
Editing Your Profile
In the "My Profile" tab, you can update your name, company info, and upload a profile picture. This tab also shows your current subscription plan and storage usage.
Password & Security (2FA)
In the "Password" tab, you can change your password. If you signed up via Google/GitHub, you must first use the "Forgot Password" flow on the sign-in screen to create a password.
You can also enable or disable 2FA for your account. To enable it, scan the QR code with an authenticator app (like Google Authenticator or Authy) and verify it with a 6-digit code.
Notification Settings
In the "Notifications" tab, you can toggle email notifications for events like when you are @mentioned or assigned a new task.
My Notes (Personal Scratchpad)
Click the "My Notes" icon (a notepad) in the top-right corner of the dashboard to open a persistent, personal scratchpad. Your notes are saved automatically as you type and are accessible from anywhere in the app.
Contact & Legal
The "Contact & Terms" tab provides email links for support, sales, and legal inquiries, as well as direct links to our Terms of Service and Privacy Policy.
Data & Privacy (Export/Delete)
In the "Danger Zone" tab, you can:
- Export My Data: Download a complete JSON archive of all your profile and project data.
- Delete Account: Permanently delete your account and all associated data. This action is irreversible.
3. Managing Your Organization
Access organization settings by clicking your profile icon and selecting "Team Management". (Note: This is referred to as "Organization" in the database and "Team" in the UI).
Creating or Joining an Organization
If you are not part of an organization, this screen will allow you to:
- Create a New Organization: Give your organization a name to get started.
- Join an Existing Organization: Enter an invite code provided by an organization manager.
Managing Organization Members
As an organization manager, you can view all members, promote members to manager status, or remove them from the organization.
Transferring Your Management Role
A manager cannot leave an organization while they are the only manager. To leave, you must first transfer your management role:
- Go to the "Team Management" screen.
- Find the member you wish to promote in the list.
- Click "Make Manager & Leave".
This will promote them to Manager and demote you to Member. You can now go to your "My Profile" > "Danger Zone" tab and use the "Leave Team" button.
4. Billing & Subscription
Access billing settings by clicking your profile icon and selecting "My Subscription".
Managing Your Plan
If you are on the "Free" plan: This screen will show you the available plans (e.g., Freelancer, Agency) and allow you to upgrade.
If you are on a paid plan: This screen will show your current plan status and a "Manage Billing & Invoices" button. This will open the Dodo payments portal, where you can update your credit card, view invoices, or cancel your subscription.
Payment Issues & Grace Period
Clarevis has a 14-day grace period for failed payments. If a payment fails: Your subscription_status will become past_due. You will receive an automated email and see a persistent banner in the app. After 14 Days: If the payment is not resolved, your account will be automatically downgraded to the free plan.
5. Working with Projects
The Main Dashboard
Your main dashboard provides a customizable overview of your tasks, projects with updates, announcements, and pending invites. You can customize this view by clicking your profile icon and selecting "Customize Dashboard".
Creating a New Project
Click the "New Project" button on the dashboard to create a new project. You only need to provide a name to get started.
The Project Dashboard
Clicking on any project opens its dedicated dashboard, organized into several tabs: Summary, Members, Tasks, Activity, Chat, and more.
Transferring Project Ownership
Only the Project Owner can delete a project or transfer ownership. Go to the project's "Members" tab, find the member you wish to make the new owner, and click the "Transfer Ownership" icon. This will make them the new owner, and you will be demoted to a Member, allowing you to leave the project.
6. Task Management
Views: Kanban, List, & Calendar
The "Tasks" tab provides three ways to view your work: a visual Kanban board, a simple list, and a calendar view for tasks with due dates.
The Task Detail Screen
Clicking any task card opens its detail screen. Here you can assign a user, set a due date, edit the description, and more.
Priority & Dependencies
You can set a Priority (Low, Medium, High) and set a Dependency, which blocks this task from being started until another task is completed.
Sub-Tasks & @Mentions
You can add a checklist of sub-tasks to any task. The sub-task input field supports @mentions to notify other project members.
Time Tracking
Click the "Log Time" button on a task to open a dialog where you can log billable hours, specify the date, and add notes.
Assets, Comments & Large Files
In the "Assets" panel, you can upload files to the task. For security and to give you control over your data, files over 30MB are uploaded to your connected Google Drive account instead of our servers. You will be prompted to connect your Google Drive if you attempt to upload a large file. Clicking any asset opens the file viewer, where you can leave comments which also support @mentions.
7. Global Features
Command Palette (Ctrl+K)
Press Ctrl+K (or Cmd+K on macOS) to open the Command Palette. This allows for high-speed navigation and instantly searches all your projects, tasks, and files.
Global Search
The Search Icon in the header opens the Command Palette in its search mode.
Notification Center
Clicking the "Bell" icon opens the Notification Center, which is divided into "All Activity" and a dedicated "Mentions" inbox.
File Repository
Clicking your profile icon and selecting "File Repository" takes you to a unified view of every file you have access to, across all your projects.
8. Collaboration
Project Chat
The "Chat" tab provides real-time chat. It includes a "Client Chat" (visible to all) and a private "Team Chat" (on paid plans).
Project Announcements
Project managers can post announcements from the project's "Summary" tab. These are visible to all project members.
Activity Log
The "Activity" tab shows a reverse-chronological log of every action taken in the project.
9. Advanced Features
AI Chatbot
(On eligible plans) The "AI Chat" tab provides an AI assistant that can answer questions about your project's data.
Generating Reports (AI & Visual)
The "Visuals" tab displays charts showing task distribution. The "Reports" tab allows you to generate a detailed PDF summary of the project's progress, powered by AI.
10. Frequently Asked Questions (FAQ)
Q: My payment failed. What happens to my account?
A: Your account enters a 14-day grace period. If you don't update your payment method within 14 days, your account will be downgraded to the free plan.
Q: I'm a Project Owner. Why can't I leave my project?
A: Owners must first transfer ownership to another member from the project's "Members" tab. After you transfer ownership, the "Leave Project" button will become available to you.
Q: What's the difference between "Team Chat" and "Client Chat"?
A: Client Chat is public to everyone in the project. Team Chat is a private, internal channel visible only to Managers and Members.
Q: What's the difference between the Command Palette and the Search icon?
A: They both open the same powerful tool for commands and searching.
Q: How do I cancel my subscription?
A: Go to "My Subscription" and click "Manage Billing & Invoices" to open the Dodo payments portal, where you can cancel your plan.
Q: I signed up with Google/GitHub. How do I set a password?
A: Sign out, click "Forgot Password" on the sign-in screen, and enter your email address to create a new password via the reset link.
